Key Responsibilities
1. Events & Training Coordination
- Assist in organizing a variety of events including conferences, dialogue events, seminars, and workshops.
- Maintain an updated and accessible events calendar, ensuring timely circulation of event invitations to relevant stakeholders.
- Provide support on the logistical arrangements for events, including flights, shuttles, visas, and accommodation for participants and team members.
- Organize catering services, manage seating arrangements, parking logistics, and venue setup to ensure smooth event flow.
- Assist with technical setups such as Wi-Fi, sound systems, cameras, podiums, IT support, and audiovisual requirements.
- Compile event materials, including agendas, name tags, meeting packs, attendance registers, and other related documents.
- Assist with dry runs and pre-event checks to identify and troubleshoot potential issues before the event.
- Contribute to the smooth execution of both physical and virtual events, handling any arising challenges promptly.
- Process and follow up on event-related invoices and payments, ensuring timely and accurate documentation.
2. Administrative & Project Support
- Assist the team lead with project administration .
- Update the electronic filing system for project-related documents, such as presentations, invitations, invoices, and reports.
- Distribute project-related reports and publications both internally and externally, ensuring proper communication of updates.
- Assist with organizing, filing, and maintaining Call for Applications into designated folders, ensuring accurate record-keeping.
3. Multimedia & Digital Content Creation
- Support the communications team by creating, editing, and managing visual content, including event promotions and social media updates.
- Assist in the design and development of event materials, such as brochures, infographics, and promotional materials (experience with design tools such as Canva is advantageous).
- Assist with digital media, including capturing, editing, and archiving event photographs and videos for future use and distribution.
4. Additional Responsibilities
- Assist with various other event, project, and administrative tasks as required by the team.
- Provide general support to ensure smooth operations, including assisting with last-minute changes or urgent requests.
- Adapt quickly to unexpected changes in event or project requirements, providing flexibility and solution-focused support..
Qualifications & Skills
- A recently completed a degree in Event Management, Communications, or Marketing, with at least 2 years work experience
- Strong organizational, time-management, and multitasking skills, with keen attention to detail and accuracy.
- Proficiency in Microsoft Office Suite, Google Workspace, and design tools (e.g., Canva is a plus).
- Experience with virtual event platforms like Zoom and Everlytic is advantageous.
- Excellent written and verbal communication skills, with the ability to engage professionally with internal and external stakeholders.
- Ability to work both independently and collaboratively in a fast-paced, dynamic environment.
- Strong problem-solving mindset with the ability to adapt and remain flexible in response to unexpected challenges.
- High level of professionalism, discretion, and dependability.
Who we are:
Trade & Industrial Policy Strategies (TIPS) is an independent, non-profit, economic research institution based in Pretoria. It was established in 1996 to support economic policy development, with an emphasis on industrial policy, in South Africa and the region. Its areas of focus are trade and inclusive industrial policy, and sustainable development. TIPS approach is to integrate research and analysis, policy development, disseminating information, capacity building, technical support, and programme design and management. To support these activities, TIPS researchers are expected to provide world-class quantitative and qualitative socio-economic analyses.
